IMESA decision #29
At the World Championship 2025 (WCH), we will supply accommodations to at least 10 players as per decision #4.
The conditions are as follows:
- Players must be willing to share a room with other Minesweeper players that also make use of this offer
- Players will not be expected to share a room with anyone besides other players and their travel companions
- Players will not have to share a bed with anyone (different levels of bunk beds count as separate beds)
We will choose the recipients as follows. Potential recipients are divided into four categories:
- Players who meet the following criteria on 2025-09-28:
- Either under 20 years old
- Or under 26 years old, and enrolled in tertiary education
- Other players who applied for accommodations
- Other players who didn't apply for accommodations, but want to use them
- Travel companions of players that are using the accommodations
Within these categories, players traveling a longer distance will be prioritized.
Beds will be allocated in the following stages:
- When the initial refund deadline for the WCH ends, we will select the initial recipients from the first category based on distance traveled
- If beds remain after that, they are given to members of the first category on a first come, first serve basis until the confirmation deadline for the WCH
- If beds remain after that, they are given to members of the second category based on distance, like with the initial selection
- If beds remain after that, they are given to members of the first two categories on a first come, first serve basis until the registration deadline for the WCH
- If beds remain after that, they are given to members of the third category based on distance, like with the initial selection
- If beds remain after that, they are given to members of the fourth category based on distance, like with the initial selection
- If beds remain after that, they are given to members of all categories on a first come, first serve basis
Travel companions of players may apply for accommodations by sending an email to contact@imesa.org. They should put "Accommodations" in the subject. The board may accept requests via other channels. Alternatively, accompanied players may initiate contact, but merely putting information into the "user notes" fields does NOT count.
For the purposes of "first come, first serve", the determining time is either when a player applies for accommodations via the registration form, or when the IMESA board manually enters an application received by email into the system on imesa.org. Board members will not artificially delay doing so to enact preferential treatment, but data entry is subject to board member time constraints.
The board may add additional accommodations based on demand. In this case, all stages above that were already reached are applied again in order until the beds are distributed.
The board may move a player from categories 2 and 3 to category 1 on its discretion based on a request from that player for reasons of hardship, such as
- financial hardship
- disability
- emergencies related to accommodations, for example, last-minute cancellations
Despite decision #4, contrary to the informal announcement, we won't charge travel companions if they use a bed. This is for legal reasons, to avoid technically charging for a service as a nonprofit with strict rules about expenditure.
Also, we have decided against the qualifiers influencing the criteria so that we can fix the recipient list as soon as possible and give players guarantees they can plan with.
