You may be wondering why we are asking for so much personal data.

The reasons are:

• Member data: this is the data we collect (and legally have to collect) about our members.
• Event participation: however, users can participate in events without being a member. In those cases, we still need some or even all of this data. For example:
  • venues might need the names of participants to let them in (full name)
  • we might need the age of participants to check eligibility for certain kinds of support (birth date)
  • we might need the distance traveled by participants to determine the level of travel refunds they are eligible for (post address)

Then again, apart from the birth date, this data will become editable. And also, we don't plan to enforce its correctness for non-members.

That said, we will try to verify the data, and maybe ask for proof that it's correct. But you will always have the choice to ignore our requests for proof.

One big caveat: incorrect or unverified data might lead to you being disqualified from financial or other benefits, or even mean that you can't attend an event. That's because a venue might require your legal name to let you in, and because we need to justify our expenses to auditors. And these auditors might ask us how we know that the person we paid an expensive flight for actually needed that flight to attend, just for example.

Data Privacy

We also want to note that we take your privacy seriously. Of course, anyone can make that claim, but as a result of our TOS, we are legally required to treat your data with care.

In general, we aren't allowed to keep any more data than we need, and we need your explicit consent to publish it for any purposes, even for purposes related to the association, unless we're legally required to for some reason (for example, in case we get a warrant).
